Description
Coordinate GM Schedule (schedule management)
Organize internal & external meeting appointments for GM
Develop & enforce office services by organizing office operations and procedures, designing standards and systems, measuring results and make necessary adjustments
Develop and manage office appearance, incl. technical equipment and working environment for GM office
Conserve GM's time by reading, researching and routing correspondence; drafting letters and documents, collecting and analyzing information, initiating telecommunications
Translate for GM in meeting (Chinese - English), coordinate translator service
Communicate for employees for administration service and policies
Interact with external clients
Organize all travel arrangements for GM
Support in organizing business trips for visitors
To location offices for administration service setup support
Follow up on delegated tasks of GM and check deadlines/manage follow up system of GM
Prepare report for GM summarizing business developments and highlighting areas of improvement
Conduct research, assemble and analyse data to prepare reports and documents
Consolidate data from HoD for reports/meetings/business updates as requested by GM
Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem solving, making adjustment to plans
Responsible for admin vendors/agencies management to ensure proper level of service quality
Assist in organizing company social events
Support GM direct reports on related projects
Other tasks assigned by supervisor
Qualifications
Organizing ability as well as communication skill, flexibility, safe and competent occurrence, very good English knowledge in work and writing, experience in translating for foreigners (Chinese - English), very good in MS office knowledge(word/excel/ppt) and lotus, self-dependent and accurate work style
Familiar with systematic operation and management in administration area
