3C 原则

在写邮件之前,首先我们要明白,邮件最主要的作用是,沟通!所以不需要辞藻多华丽,关键是简明扼要。给大家分享一个3c原则:

 

1. Deliver a Clear message

2. Use Correct grammar, vocabulary and punctuation

3. Be Concise

 

也就是clear 清晰,correct 正确,concise 简明,把事情讲清楚,有效地传达信息,让人迅速找到point才是一封邮件的使命,可以用短句子说完的东西,避免用复杂的长句。


下面我们正式开始聊聊邮件内容。基本格式:Subject line 主题、Salutation 称谓、Main point 正文、Closing 结尾、Sign off 和 Signature block落款、Attach附件(如有)。


1. Subject line 主题

天知道有多少人忽略了邮件主题。常常不写,或者就算写了,也只写个Hi……或者不够具体,比如Question……这样你的邮件很有可能被当做垃圾邮件。要知道你的老板、同事、或者客户可能每天要浏览几十上百篇邮件,所以你需要给邮件一个简单、明确、具体的标题,让对方看一眼标题,甚至不用打开就知道这篇邮件要说什么。


比如,不只是写“Question”,而是写“Question About Schedule for Friday’s Meeting”。



2. Salutation 称谓

 

跟对方关系比较熟

直接称呼名字就好了,用Hi XX或者Hello XX,比如Hi Jack. 这也是相对来说,最常用的称谓方式。

 

 

 头一次跟对方联系,或者不熟悉

要正式一点,最好用 “Dear+姓”,比如Dear Mr. Green, Mrs. Green。如果不知道对方(女性)是否已婚,用“Ms.”来代替“Miss”或“Mrs.”最保险。如果不知道对方姓氏或性别,使用“Dear Sir/Madam”。


 

收信人不止一个

使用“Dear customers”或者“Dear partners”,给同事们可以写“Dear All”“Hello everyone”。


 

No greeting

当然也有不写称谓的时候。这种情况用于同事们之间快速电邮沟通。这种形式的电邮,更像是使用电话的作用……所以小职君还是觉得微信比较方便………………



3. Main point 正文

开头寒暄:虽然要简洁,但还是需要基本的礼貌和简单一句客套。


 

开场白

Hope you are doing well.

Hope this email finds you well.

Hope all is well.


 

回复开场白

Further to our conversation earlier……

As discussed over the phone……

Thanks for your kind reply.

Thanks for your prompt reply.

Thanks for your kind feedback.

Thanks for the update on the situation.

道歉

* 如果回复晚了,道歉该怎么表达?

Sorry for the late reply

Sorry I haven’t got back to you sooner.

* 如果邮件没写清楚导致收件人误解了

I apologize if this was not made clear

 

* 如果你出了小差错,比如发错邮件、搞错时间地点等,在重新发送邮件加以纠正时,在结尾加上 "Sorry for any inconvenience caused"。



4. Closing 结尾

 

常用结尾

Let me know if you have any questions or concerns.

If you have any questions, please feel free to reach me out.

Please let me know if there are questions.

Many thanks for your support.

Your kindly cooperation is much appreciated.

7. 其他常用句

 

请求对方做某件事

Please arrange...accordingly so we can proceed with.../move forward

Please follow up with...


 

更委婉的请求

If possible could you please…

和对方确认某件事

Could you please clarify.../give a clarification on...

Kindly please confirm on our proposed (schedule/plan)


 

询问进展

通知对方某件事

Please be informed that...

Please kindly note that...



8. 其他 Tips

 

 with regard to/ regarding

关于....的话题,不要用about.

eg. I'll have a business trip regarding the quality issue.


 

issue

邮件中很少说problem,一般都用issue代替,更加正式,表示值得注意的问题,比如品质问题是quality issue.

 

 

highlight

任何事情只要你想强调,以引起别人注意,都可以用highlight.

eg. I have to highlight the issue that the deadline is close whereas up to date we haven't come up with a solution.


 

I was wondering

提问时,前面加个wondering表示想知道,比直接问一个问题更加委婉。

eg. I was wondering what your thoughts are changing this design.


 

By any chance

请别人帮忙做一件事时,在前面加(by) any chance,意思是如果有时间/有机会,更加委婉。

eg. By any chance, could you help check the data?


 

习惯感谢

别人发邮件提供信息给你,中文邮件是懒得回的,不过英文邮件习惯感谢,简单回复一个

Thank you.

Well noted.

Noted/Received with thanks.
