China Affairs CoordinatorLondonRole Purpose
The China Affairs team works within the Group Government Affairs to provide support on the management of strategic government relationship and supports the Group Chairman’s Office and other business units within the group with areas focus on Greater China. The team also manages China-related relationships in the UK, provides support and guidance on China-related projects and manages the Executive Training Programmes.🔹Support Head of China Affairs on developing related relationship in UK/EU.🔹Provide administrative support and facilitate logistics to the China Affairs team in delivering the executive training programs.🔹Coordinate senior corporate events and other China-related projects and events.🔹Maintain an accurate filing system, including archiving and destruction. Working with the Head of China Affairs to ensure timely recording of public official engagement in line with anti-bribery and corruption rules.🔹Manage the setting up of external and internal meetings.🔹Preparation of confidential documents such as letters, emails, binding of documents and preparation of PowerPoint presentations.🔹Maintain annual leave and absence log.🔹Attend team meetings and take minutes as required.
🔹Comfortable dealing with a team with conflicting priorities and urgent deadlines.🔹Deliver high standards of customer service and provide first line support to the China Affairs team by efficiently and proactively responding to issues.🔹Work with international and Group colleagues as required ensuring a coordinated approach.🔹Contribute to and assist the team with ad hoc projects as required.🔹Liaise with internal and external colleagues in a professional manner.🔹Develop relationships with colleagues and business areas in the UK and internationally.🔹Excellent interpersonal and communication skills – be able to liaise with colleagues at all levels of seniority in an appropriate manner.🔹Liaise with IT to diagnose and resolve issues.🔹Be flexible and willing to take direction from the team.
Operational Effectiveness & Control🔹Maintain an efficient and compliant process.🔹Observe internal control objectives, including compliance with anti-bribery and corruption rules.🔹Integrity, conduct and performance against ethical standards.🔹Comply with all relevant HSBC policies and full adherence to the GSM and FIMs.
The individual will be based at HSBC Group headquarters in London and work under the guidance of the Head of China Affairs, to whom he/she directly reports. The jobholder is also required to assist all other members of the team.🔹To be focused on ensuring that the team is supported and all tasks are completed in a timely manner with a high level of accuracy and in accordance with procedures.🔹Ability to priorities a busy workload and willingness to occasionally work unsocial hours when work schedule requires.🔹Ability to handle confidential/sensitive matters in an appropriate manner at all times.🔹Ability to multitask – strong organizational and personal skills with excellent attention to detail.🔹Reliable, flexible and loyal attitude and calm under pressure.
