Shanghai Office AssistantSasaki Associates, an international planning & design firm, is seeking an Office Assistant to join the Shanghai office. The ideal candidate will thrive in a small office environment of collaborative professionals. Sasaki Shanghai provides the small office feel while providing benefits, resources and support from the headquarters office in Massachusetts, USA.- Serving as a translator for the office
- Typing and maintaining project correspondence, proposals and contracts
- Document distribution both electronic and physical
- Coordinating client and internal meetings including catering needs
- Maintaining license and professional membership records
- Coordinating travel arrangements, visa/passport arrangements
- In charge of all staff’s expense reports
- Manage incoming and outgoing mail
- Set up and break down employee events
- Assist with minimal housekeeping which includes recycling and restocking copy machine supplies
- Manage supply stock – ordering supplies, receiving and sorting products
- Office food/lunch orders - includes ordering drinks, picking up large food and liquor store orders
- Prep office space for new employees
- Manage day-to-day employee requests
- Support BD activities by assisting with the RFQ/RFP process including material production, editing and proof-reading content
- Assist with studio marketing initiatives
- Assist with maintaining marketing collateral
- Provide administrative support to the marketing team as needed
- Perform office reception during regular office business hours between 8:30-17:30
- Provide necessary and requested reports to Management
- Assist in the management and renewal process of corporate state registrations
- Manage the library of Shanghai office, including material samples and books
- Help coordinate the work between local IT and Sasaki headquarters
- Proactive in enhancing the working environment of the office
- Perform other related duties as assigned
- Experience and enthusiasm for working in a fast-paced, multi-faceted environment
- Flexibility and the capacity to learn quickly
- Ability to prioritize and multi-task is critical to this role
- Strong verbal and written communication skills
- Fluency in both Mandarin and English is a must
- Proficiency of Adobe Suite (InDesign, Photoshop, and Illustrator) is preferred, although not required
