Job Description
Sasaki is a world-class planning and design firm with a dynamic start-up culture and a reputation and body of work that spans sixty-five years. We seek a highly motivated Marketing Coordinator to join our award-winning marketing team. You would primarily be responsible for supporting the creation and dissemination of thought leadership content, collaboratively-produced by our tight-knit team of communications professionals.
Core competencies include passion and talent for writing and editing; a grasp of marketing best practices; strong organizational skills; and a fluid working style that allows for both self-directed project work and close collaboration with a diversity of professionals.
With guidance, the successful candidate will support the development of compelling proposals. A passion for design is a big plus. Innate curiosity; superior critical thinking, communication and people skills; a “can-do” and team-oriented attitude; excellent organization and task management ability; and a capacity to absorb and learn quickly are vital to this candidate’s success. As a Marketing Coordinator, you will work closely with a broader marketing and communications team and design leaders on a day-to-day basis, reporting to the Director of Shanghai Office.
Role Responsibilities
Develop proposals including firm experience, project understanding/design approaches, and other business content to the clients
Communicate with potential clients on their visions, design requirements, project schedule, budget and other key concerns to improve collaboration
Edit content provided by design professionals
Coordinate logistics for select events (exhibition openings, professional conference/forum, public education, Sasaki cultural celebrations, etc.)
Collaborate with communication team on inner posts, project promotion, and award submission
Qualifications
Proficiency in English translating, writing, reading and speaking
Strong writing, organization, communication, and time management skills
Ability to shepherd projects through relevant stakeholders and collaborate with marketing team members and practitioners at all levels of the firm
Capacity to flex both strategically and tactically, to support marketing strategy and task execution to support firm goals
Preferred Skills and Experience
Bachelor’s degree in Marketing, Landscape Architecture/Urban Design/Planning/Architecture/Graphic Design, English, PR or related field
Proficiency in Adobe Suite especially InDesign
2-3 years of experience in Marketing or Design Consulting
Proficiency in Autodesk, Arcview GIS, Sketch-up, Lumion,etc. would be a plus
Sustainability experience

Office Assistant

Serving as a translator for the office
Typing and maintaining project correspondence, proposals and contracts
Document distribution both electronic and physical
Coordinating client and internal meetings including catering needs
Maintaining license and professional membership records
Coordinating travel arrangements, visa/passport arrangements
In charge of all staff’s expense reports
Manage incoming and outgoing mail
Distribute mail
Set up and break down employee events
Assist with minimal housekeeping which includes recycling and restocking copy machine supplies
Manage supply stock – ordering supplies, receiving and sorting products
Office food/lunch orders - includes ordering drinks, picking up large food and liquor store orders
Prep office space for new employees
Manage day-to-day employee requests
Support BD activities by assisting with the RFQ/RFP process including material production, editing and proof-reading content
Assist with studio marketing initiatives
Assist with maintaining marketing collateral
Provide administrative support to the marketing team as needed
Perform office reception during regular office business hours between 8:30-17:30
Provide necessary and requested reports to Management
Assist in the management and renewal process of corporate state registrations
Manage the library of Shanghai office, including material samples and books
Help coordinate the work between local IT and Sasaki headquarters
Proactive in enhancing the working environment of the office
Perform other related duties as assigned
Qualifications
Experience and enthusiasm for working in a fast-paced, multi-faceted environment
Flexibility and the capacity to learn quickly
Ability to prioritize and multi-task is critical to this role
Detail-oriented
Punctual
Strong verbal and written communication skills
Fluency in both Mandarin and English is a must
Proficiency of Adobe Suite (InDesign, Photoshop, and Illustrator) is preferred, although not required
