日理万机的流程 |《时间管理100讲》中英对照版【12】

In this class, first I will summarize the first 12 classes to you.  Second, I will introduce you to Easy Efficiency’stime management methodology: Collect-Schedule-Execute using to-do lists, eating frogs, and the Pomodoro technique.

这一期我进行1-12期课程的总结,并提出易效能的方法论:收集-排程-执行,土豆青蛙番茄钟。

 



The GTD method, known as Getting Things Done, refers is where we must collect all our ideas in one place transferring them from your brain to an outside construct such as a list or an app.  Then the items are prioritized from most to least important At this point, we act to complete the most important matters first, what are called the frogs.  

这里讲的“青蛙”,指的是通过GTD的思想,对大脑关注事务进行收集、分清轻重缓急之后,挑选出来的“要事”。

 

This process from collecting the tasks and then breaking them down in to categories is known as decomposition.  The collection to decomposition process is the optimal way to construct to-do lists.  The process involves writing down the tasks from our brain to paper or app. The process is called potato-cutting.  Imagine cutting a potato into smaller potato chips and then again to shredded potatoes so that what was once a large complex group of problems is now individual categorized tasks from which each task is easily and efficiently completed.

这个收集到分解的过程,我们把它称为:土豆(To Do List)的技术。把大脑的事物写下来、分解的过程,我们就叫“切土豆”:从一团大土豆、土豆片、土豆丝的过程。

 

After “frogs” have been selected, they need to be eliminated with the focus method of the Pomodoro technique.  Remember this is the powerful method of focusing your energy into repeating cycles of 25 minutes of focused work and 5 minutes of pure relaxation. 

挑出青蛙之后,用番茄工作法的“专注”技术来把“青蛙事件"干掉。

 

What do you think will happen when you integrate the to do list process, eating those ultra-important frogs and the efficient pomodoro technique?  Your efficiency increase more and more to levels you’ve never experienced before!

土豆、青蛙、番茄钟,两素一荤炖起来味道会怎么样呢?你的效率会非常非常地高!

 

Together, this three part methodology is called the Collect-Schedule-Execute process.

土豆、青蛙、番茄,也就是我们在线下课堂上给易效能的学员讲到的:收集-排程-执行的理念。

 

In over ten years of teaching this methodology across 30 cities in China and over 300 courses, I can prove that this time-management process is effective.  Overall, it is the core of the Easy Efficiency methodology.

这是我在中国30多个城市讲了300多场课程之后总结出来的,是适合我们中国人,适合我们初学者所学习的时间管理的流程,我把它称作易效能的方法论。

 

The original GTD method is composed of 5 processes which I’ve found can be a bit difficult for beginners to grasp.  I’ve learned that many people do not understand it well.  For this reason, I have simplified these five processes into three steps for my students.

GTD的理念中这个流程有5个步骤,对初学者有点复杂,很多人听不太明白,所以我就“因地制宜”地把这个流程简化成了适合我们中国人学习的3个步骤。

 

In the Easy Efficiency system, the process of Collect-Schedule-Execute is also called the “Execution Triangle”. 

收集-排程-执行在易效能的体系中也被称为"行动三角形"。

 

Now, let’s see how everything we’ve learned in our previous classes can be integrated into the Collect-Schedule-Execute process.

我们按照这个体系把之前课程的点串起来复习一下:

 

First: Collect

第一步:收集

 

When we have too many tasks to complete, we will grow anxious and stressed and we will begin to forget all of the important tasks we must finish.  It will also interfere with our ability to complete new and urgent tasks that come up each day.

当我们的事情是做不完的时候,我们就会焦虑,会记不住重点,这时我们就不能活在当下做事。

 

In order to keep our brain working as efficiently as it can, we must first empty it of the need to remember all of these tasks by writing them down.  Allow your brain to use all of its energy to complete the one task you are currently working on.

所以我们在做时间管理的时候,首先要把一切事务赶出大脑,把大脑清空,把脑子里的事都写下来;

 

Second: Schedule

第二步:排程


Classify your tasks in order.  Determine which matters you can schedule, which you can delegate, which are important and which are not important at all.  Record the scheduled matters in your calendar.

我们按照轻重缓急把它们分类,特定时间和日期的事件就写到日历上;

 

Tasks that have a deadline will be managed through a list or a calendar.  Tasks without a deadline will be broken or decomposed even further according to contexts such as at home, at work, phone calls, emails, etc.

有截止日的事件要列出清单管理;没有截止日的就按“情境”来分解;

 

Third: Execution

第三步:行动


Always complete what is in your calendar at the time you schedule it within the time frame you’ve given yourself.  Then, deal with other tasks using the 4D technique: do, delegate, delay, delete.  Carefully determine which tasks should be completed in which situations or contexts.  Which tasks should be delayed until you are at your home or in your office or outside in your car for example.

首先无条件执行日历上的事务,然后根据自己所处情境(在家、外出、办公室等等),参考相对应的情境清单,按照要事紧急优先原则,匹配精力,应用执行、委托、推迟和删除的4D原则,来对清单上事情进行处理,做到既严谨又不失灵活性。

 

The more tasks you have, the busier you are, the more important it is to follow this process.  It is only after you do this that you can truly focus on the present and dedicate your full and undivided attention on the task at hand.

这就是日理万机的流程,越忙越要如此应用。因为只有走这样的流程你才能专注于当下,专注于手里的工作。

 

It is necessary to have effective tools to do good work. The right tools will allow you to complete the Collect-Schedule-Do method better. Papers and pen can be considered tools but inconvenient to carry around with you and can easily be lost.  In addition, it is more difficult to organize your tasks when they are on paper. I recommend mobile phone apps instead.

工欲善其事必先利其器。如果没有好的工具,无法更好地进行三个流程,可以是纸笔,但更建议大家使用手机上APP,因为纸笔不方便携带,也容易弄丢,同时管理长期的事务,纸笔抄来抄去很费事。
