OVERVIEW OF THE FUNCTIONS OF THE POST
Description of Responsibilities:
Under the authority and direct supervision of the Director, UNESCO Beijing Office, the incumbent shall provide administrative and secretarial assistance, and carry out the following duties and responsibilities:
1. Assures the secretarial service of the Director’s office. Assist in managing the DIR’s agenda, and makes arrangements for missions, official functions and ceremonies, internal and external meetings, and appointments, scheduling appointments of visitors; recording and follow up on main outcomes from meetings; prepares files/substantive reports and briefing notes in connection with attendance at meetings, conference, seminar in and outside China ensures that up-to-date information and related documentation are timely prepared for the Director before meetings; Keeps track of follow up actions and deadlines.
2. Prepares correspondences, reports, evaluations and memos as required and works on specialized tasks that maybe of a confidential nature:
3. Performs a coordinating role among the different sectors/Units of Beijing Office in the preparation of a joint response to reporting requirements of UNESCO Headquarters, intergovernmental bodies and an integrated UN Systems exercise, and makes appropriate follow-ups to ensure timely response;
4. Coordinate information and reports on emerging and emergency programmes and providing updated information for the Director by providing the primary communication link between the Director and Staff in the Office and conveying in a timely and accurate manner directives from the Director and vice versa.
5. Schedule regular meetings in the office (Director and programme specialists; all staff meetings), and prepare agenda and minutes for these meetings;
6. Keeps track of communications (emails and letters/fax), and their follow up, including keeping an overview of deadlines.
7. Supports the DIR in her function in UNCTs and SMT (of Cluster countries), including liaising with other UNESCO field offices in the region.
8. Oversees the missions and travel agenda, organizes mission reports and follows up on action points arising from missions.
9. Make travel arrangement for the Director, investigates routing possibilities, hotel reservation and prepares travel and appointment schedule; request for the security clearance and missions approval; prepare the travel order and follow-up on the travel record/claim settlement; finalize the format of mission reports, including its annexes and other materials for the report.
10.Translate correspondence and documents. Act as informal interpreter during meetings if needed” - Chinese-English

REQUIRED QUALIFICATIONS
EDUCATION
Secondary, technical and/or vocational training.
WORK EXPERIENCE
A minimum of 4 years of professional experience in administrative positions and Office Management out of which at least 2 years as a secretary.
At least 2 years of working experience in the area of international organizations or diplomatic bodies;
SKILLS/COMPETENCIES

DESIRABLE QUALIFICATIONS
EDUCATION
Specialized training / Certification in Secretary, Management and/or Public Relations.
WORK EXPERIENCE
Relevant professional experience in Administrative positions.
SKILLS/COMPETENCIES
Knowledge of UNESCO administrative and informatics tools (FABS, SISTER, DUO, etc.).
LANGUAGES
Good knowledge of French.

The Royal Danish Embassy is recruiting a structured and dynamic individual to a full-time position as Commercial Coordinator.
Your job will be to support the business development and coordination of the Danish Trade Council (TC) in China. The overriding aim is to promote the trade of Danish companies in China. You will be working closely with the Trade Council’s team leaders and colleagues in Beijing, Shanghai, Chongqing, Guangzhou and Taipei.
We offer a challenging work environment where you combine independent work with a high degree of team-work. An important part of the job will be to support the approximately 50 Trade Council colleagues around China with compliance in our Customer Relation Management (CRM) and other Foreign Ministry systems, as well as to ensure a solid internal and external reporting.

The Trade Council is fully integrated within the Danish Ministry of Foreign Affairs. TC assists and promotes Danish companies’ interests in China. TC consists of about 50 advisors in five different locations in China divided into five different industry teams for respectively Food, Health, Green Solutions, Design and Service.

Job Description
Your job will be to support the business development and coordination of the Danish Trade Council in China.
Your work will include:
Idea generation, business development and coordination of the TC in China as support to the Head of Trade
Ensuring and advising colleagues on system compliance
Management of Customer Relations Management system
Ensuring solid reporting systems, both internally and externally
Ensure preparations and follow up to decision of the board of the Trade Council China
Organizing and executing seminars and events at the embassy
You may also assist in coordinating visits and delegations to China
Required Qualifications
We are looking for a team player with following qualifications:
Excellent communication skills in English. Knowledge of Danish and/or Mandarin will be an advantage
Structured, organized, patient and a positive attitude
Knowledge of customer relations management systems is an advance
Structured approach to new tasks and the ability to multitask
Solid skills within MS Office and general good IT skills
Great team player abilities and able to knowledge sharing

Job Description

You should display sound judgement, efficiency and be able to deliver results with a high service level, representing Denmark’s already good reputation in China.
You may also be asked to assist Danes in China with passport applications and sometimes more complicated consular cases.
The work requires that you have an assertive personality and are able to keep the overview under pressure.
Qualifications
We are looking for a team-player, who delivers a high level of service, efficiency and attention to detail.
Relevant higher education
Good language skills: fluent in Chinese and English. Knowledge of Danish language is an advantage, but not a requirement
Relevant work experience
Sense of detail in each case combined with the ability to see the visa work as an important part of presenting Denmark as an attractive country
Experience with working in a cross-cultural work place
The ability to work in a political environment
Assertive personality and the ability to handle difficult situations with a smile and in a competent manner
