Minimum Requirements

 

The following are the minimum requirements to be eligible for the Young Professionals Program.

 

·Citizenship of a member country of the World Bank Group;

  • Be born on or after October 1, 1986;

  • A PhD or Master’s degree and relevant work experience;

  • Fluency in English;

  • Full proficiency in one or more of the WBG’s working languages: Arabic, Chinese, French, Portuguese, Russian, and Spanish is desired but not required;

  • Specialization in a field relevant to the WBG Technical/Operations such as economics, finance, education, public health, social sciences, engineering, urban planning, agriculture, natural resources, and others;

  • At least three years of relevant professional experience related to development or continued academic study at the doctoral level.

 

Additional Qualifications

 

To be competitive for the limited number of positions, a combination of the following credentials is highly desirable:

 

  • Display a commitment and passion for international development;

  • Possess outstanding academic credentials;

  • Exhibit excellent client engagement and team leadership skills;

  • Have international development country experience.

The Asian Infrastructure Investment Bank (AIIB) has the mandate to foster economic growth in Asia by investing in infrastructure and other productive areas and promoting regional cooperation and partnership.

The key responsibilities for the legal secretary include but are not limited to:

I. Administrative Assistance

·Receive visitors and telephone calls with tact and discretion and acts according to the nature and urgency of each including redirecting as appropriate.

·Provide background information for appointments with official visitors and/or staff members.

·Process requests for office supplies by staff.

·Draft general or administrative correspondence on own initiative or on the basis of instructions; finalize correspondence/reports for signature/clearance.

·Prepare minutes during internal meetings.

·Support the organization of meetings, workshops, seminars including developing list of participants, preparing letters of invitation, reservation of meeting rooms and hotel accommodation, dispatching of materials and liaising with participants and others involved.

·Arrange for team members’ travel, transportation, accommodation and events.

·Prepare and forward the requests for payments of consultant’s service; prepare statements of expenses forms.


II.Other Support

·Oversee and monitor the project information flow, screening, sorting and analyzing, identifying areas which need action.

·Keep abreast of the AIIB’s BoD/BoG meetings and policy documents to ensure effective and timely processing of the projects. 

·Prepare project signing package, checking language, grammar and accuracy of the legal documents prior to submitting for signature and clearance.

·Ensure that documents prepared by the OGC are presented in accordance with proper AIIB format.

·Print, scan, photocopy, shred and transmit of all documents prepared by the OGC.

·Take down professionals’ comments/opinions in shorthand and organize them into formal documents.

·Support the Legal Information and Knowledge Specialist maintaining filing systems of legal documents, ensuring timely update of internal professional filing system and all activities supported are traceable and accessible as required.

·Assist with maintaining the legal library.

·Assist professionals preparing presentation slides using Power Point and other software packages. Assist with budgetary and related matters.

·Provide cover when other secretaries are away.

  

Candidate Requirements:

·Bachelor’s degree or above from a reputable university;

·Minimum 1 year of relevant administrative support experience in an international/financial institution;

·Proficient in verbal/written English;

·Excellent interpersonal, diplomatic and organizational skills as well as ability to juggle multiple priorities;

·Self-motivated and detail-oriented; able to work under pressure and meet deadlines; service orientation;

·Proven experience with MS Office Applications is a must.

MAIN PURPOSE OF JOB


To promote and deliver collaboration between Sweden and China in the fields of innovation, research and higher education.  Particularly, in the areas of Next generation of traveling and transportation, Smart cities, Circular and bio-based economy, Life sciences, and A connected industry and new materials. The bilateral cooperation between Sweden and China will also be central and instrumental for joint efforts to pursue global agenda for a knowledge-based and innovation-driven transformation towards sustainable development, with a particular focus on Agenda 2030. 


Work closely with the Embassy’s Counsellor on Science and Innovation Policy and interact and collaborate with other Sections of the Embassy as well as engage with relevant Chinese government agencies and stakeholders. 


ROLES AND RESPONSIBILITIES 


The main roles and responsibilities of this function are:


-  Take a lead, together with the Counsellor on Science and Innovation, in developing bilateral collaborations as well as policy dialogues and mutual learning within the areas of innovation, research and higher education.


-  Monitor and interpret development trends and policy initiatives in China in these areas and establish networks with relevant actors and environments.


-  Organise and shape high-level policy dialogues.


-  Support high-level visits relating to innovation, research and higher education.


-  Advise Swedish stakeholders on innovation policies, programmes and important initiatives in China.  


-  Actively contribute to the team’s communication works and promote Sweden’s research excellence and key programmes. This will include one to one interactions with senior officials and other contacts, public speaking and contributing to reports and social media.


-  The Adviser will develop knowledge of China ’s scientific research base, including the best researchers; their future plans and what kinds of research Chinese funders and companies are interested in. 


-  Brokering and building Sweden-China innovation and science collaborations at the level of research funders. 


-  The Adviser will be expected to provide input in policy processes in Sweden, sourcing and sharing examples of best practice, scientific evidence and expertise.


Specific responsibilities may change over time.


ESSENTIAL REQUIREMENTS


-  Master’s degree as minimum.


-  Strong corporate, academic or government professional background with over 5 years of working experience. 


-  An enthusiasm for, and knowledge about, innovation, innovation policy and the internationalisation of science and innovation.


-  Excellent skills and a strong interest in communication with the ability to produce clear, concise reports, and to present effectively to different target groups. A proven track record in writing and editing articles, reports and policy papers. 


-  Fluency, both spoken and written, in English and in Chinese.


-  Excellent IT and social media skills.


-  Highly motivated, organised, and resourceful. A self-starter capable of working independently.


-  Effective team player with track record in delivering high-quality results under time pressure.


-  Strong interpersonal skills, capable of effectively interacting with members of the public, science community, and senior government officials.


-  Legal entitlement to work in China.


DESIRABLE REQUIREMENTS


-  Knowledge and experience in policy-making processes with in-depth knowledge of Chinese research and innovation policies and funding programmes 


-  Knowledge in Swedish will be considered an asset.  


-  Experience of working in an international organisation.


-  Experience of working with academia, business and government organisations.


-  Knowledge of Sweden’s science and innovation strengths and capabilities.


-  Experience from work in Sweden or with Swedish contacts.
