Role Description
The Administrative Assistant provides secretarial and administrative support to the Regional Delegation for East Asia, based in Beijing. S/he is in charge of the reception of the visitors and handles all incoming mails. In support to the Assistant & Information Management Officer, s/he deals with Management's requests regarding meetings, appointments or official documents. S/he provides support for information management and conducts relevant trainings to users.
S/he is also accountable for the physical processing of cash transactions and the integrity of physical cash transactions in accordance with ICRC Financial Rules.
Main Duties & Responsibilities

Reception Duties
Welcomes visitors, places them and informs the concerned staff in a pleasant and professional manner
Takes care of the reception area and incoming mail
Handles the telephone switchboard and fax, transfers calls and takes message upon request
Manages the subscription of newspaper and magazine and follow-up
Establishes and updates delegation's official telephone & address list

Secretarial Duties
Contacts interlocutors for appointments, makes administrative arrangements
Assists Management in various kinds of issues: receiving and sending pouch, mails and publication delivery, managing key interlocutors' contacts, maintaining calendar, arranging appointments and scheduling meetings, reservation of the office car fleet, editing diplomatic letter and MOR, distributing messages, etc.
Supports the Assistant & Information Management Officer in various tasks

Information Management
Makes an active contribution to implementing all information management projects
Is a relay of policies/guidelines
Provides timely support to users
Updates a range of collaborative tools and databases
Organizes relevant internal trainings bilaterally or in groups

Cashier Duties
Handles the petty cash of the delegation according to ICRC financial rules
Handles reimbursement in cash of various kinds of bills
Does daily control together with the accountant
Desired Profile & Skills
Bachelor degree in secretarial or related field
2 years' experience in a similar function
Very good command of written and spoken English
Very good computer skills (Microsoft Office Suite, Sharepoint, Lotus Notes or others)
Excellent organisational and methodical skills
Solution oriented, reactivity and proactivity
Good communication skills
Quick learner and ability to conduct trainings
