亚投行招聘Administrative Assistant


AIIB would like to select suitable candidates to fill the position of Administrative Assistant(outsourced by Diplomatic Personnel Service Bureau, refers to as DPSC ).  

Monthly salary(before tax) will be between RMB7000 and RMB9000  which is based on the  

competencies and skills demonstrated by applicants in the interview and past working  

experiences.

  1. 1.      Job Description  

 

The Asian Infrastructure Investment Bank (AIIB) has the mandate to foster economic growth in Asia by investing in infrastructure and other productive areas and promoting regional cooperation and partnership.  

 

The key responsibility of the Administrative Assistant is to provide necessary support to the senior executive(s) or the department/division with complete secretarial and administrative services, including secretarial services, administrative management and coordination, liaison with internal & external contacts, general data analysis and basic research work etc.   

 

Specific Responsibilities include but are not limited to:  

- Manage and maintain senior executive(s)’ schedule, and all correspondence and documentation related to the office/department that the assistant is working for;  

-  Assist the officers in filling out application forms and claiming expenses, etc.; Prepare memos, letters, and other documents, if needed.  

-  Arrange and coordinate meetings/appointments/conferences; Prepare and arrange all logistics for travels and other related issues  

-  Liaise with internal staff, receive and interact with incoming visitors  

-  Any other tasks that may be assigned from time to time by the supervisor(s)  

 

  1. 2.      Selection Criteria:

- Bachelor degree or above in related fields from a reputable university

- Minimum 1 year of relevant administrative support experience in the international/financial institution;  

- Proficient in verbal/written English and Chinese  

- Excellent interpersonal, diplomatic and organizational skills as well as ability to juggle multiple priorities  

- Self-motivated and detail-oriented; able to work under pressure and meet deadlines; service orientation  

- Proven experience with MS Office Applications is a must

Summary of position:


Under the general supervision of the Deputy Management Consular Officer, provides consular assistance and emergency services within the Mission Consular District; provides notary services and supports consular programs; provides administrative and financial services in support of consular, passport and citizenship services provided at the mission; develops and maintains productive relationships with host authorities, organizations and other consular missions; participates in research for and the preparation of reports and studies on consular issues; and performs other duties.

Education:
• Minimum Bachelor’s degree from a recognized university
Language:
• Fluency  in Mandarin (reading, writing, listening, and speaking)
• Fluency in Cantonese (reading, writing, listening, and speaking)
• Professional Proficiency in English (reading, writing, listening, and speaking)
• General proficiency in French (reading, writing, listening, and speaking)

Fluency means functionally equivalent to that of a highly articulated and well-educated native speaker.
Professional proficiency means able to use the language efficiently and accurately in a professional context.
General proficiency means able to use the language satisfactorily in a wide range of situations.
Experience:
• Minimum two years’ experience in dealing with the public and customer/client service
• Significant experience in writing reports/briefing notes/memos, etc.
• Experience in dealing with distress situations in a client service context
Abilities/skills:
• Ability to write effective business correspondence in English and Chinese using Microsoft Outlook and MS Word software
• Ability to conduct research and analyze information as well as to compile reports
• Ability to perform translation and interpretation from English to Chinese and vice versa
• Ability to coordinate and implement delivery of services consistently in accordance with a set of defined and evolving policies and regulations

We are currently looking to recruit a Trade & Investment Officer based in Beijing to support SDI operations in Beijing and Greater China.


This position is advertised on a fixed-term basis for two (2) years


What will the jobholder do?

— Executive support:

  • Provide efficient and effective daily administration co-ordination and support for the Head of North China and Head of South & East China. This will involve planning and organising meetings and associated paperwork, travel bookings, expenses, and office management.

  • Act as the first point of contact for internal and external stakeholders in Northern China and handle customer enquiries professionally and appropriately.

  • Proactively develop and maintain a professional network of contacts and a customer and stakeholder engagement plan.

— Trade and investment:

  • Work with others to collate and communicate market research, intelligence, and insights.

  • Work with Scottish companies to support them to win business in China. This will involve planning and organising visits and helping companies meet potential customers.

  • Assist the Head of North China to build a pipeline of inward investment projects by identifying leads, researching company information, cold calling, establishing initial connections with companies, attending conferences, etc.

  • Help plan and organise events, including trade missions and marketing and social media campaigns.

  • Support the work of the wider Greater China and Asia Pacific teams as required

  • At least 3-5 years of relevant work experience.

  • Degree in business administration, management, economics, or related discipline.

  • Positive attitude and capability to take initiative. Able to work independently and proactively ask questions.

  • Attention to detail, excellent organisation and time management skills, with the ability to multi-task.

  • Strong team-working ability, with experience of partnership working.

  • Excellent communication skills in English and Chinese, both written and verbal.

  • Research and analysis skills, acquired in a market context.

  • Experience of working in international business or trade and investment promotion.

Assistant Head of Economic and Innovation Department


Responsibilities 

 

  • Develop and maintain relationships with central government offices related to economy and trade.

  • Maintain and develop relations with provincial local government and organizations.

  • Coordinate political visits of the Embassy staff to various provinces

  • Planning and executing of high-level visits in China, and supporting coordination for Chinese delegations going to Israel.  

 

Qualifications

 

  • At least an undergraduate degree in relevant fields.

  • At least 2 years working experience. Work experience in the economy is an advantage.

  • Working in government or foreigncompany  – preferable.

  • Pro-active, ability to work independently and in a team.

  • Should have excellent planning and organizational skills to manage a variety of     overlapping, evolving, deadline-sensitive priorities and be program-oriented.

  • Should have an ability to develop and maintain contacts among government,     non-government, cultural and educational circles.

  • With goodcommunicationand interpersonal skills

  • Must be     fluent (Oral, Written) in both English and Mandarin
