Org. Setting and Reporting

The Department of Operational Support (DOS) provides end-to-end operational support advisory services and other solutions to operating entities across the Secretariat, including other departments, offices-away-from headquarters, field missions, and regional commissions.

The Human Resources Services Division (HRSD) provides dedicated services in support of human resources requirements of client entities, from process development through service delivery. The Staffing Service (SS) offers expertise in the areas of talent acquisition and innovation, testing and examinations, operational workforce planning and organizational design across UN Secretariat entities.

The Operational Staffing Design Section (OSDS) facilitates a holistic approach to operational workforce planning with client entities during budget cycles, and provides a methodology to meet the gap analysis

between the staffing demand and supply, in particular, by forecasting the future needs in term of rosters, including the rosters for the Young Professional Programme.

This internship is located in the Operational Staffing Design Section/Staffing Service/ Human Resources Services Division/ Office of Support Operations/ Department of Operational Support. The Intern reports to the Human Resources Officer in the Section. The Internship is for a minimum of three months with a possibility of extension up to six months. Due to COVID-19 crisis, the internship is remote only. The situation will be assessed at the end of the initial period to determine whether the internship can resume in person. The internship is UNPAID and full-time. The Intern works five days per week (35 hours) under the supervision of the staff member mentioned above.

Responsibilities

General Administration

• Provides administrative support to ongoing projects in operational workforce planning and in organizational design;

• Carries out research, analysis and drafting of documents, and presents data and information to support implementation of activities, including the preparation of reports and presentations;

• Supports the Section Chief of Operational Staffing Design Section with ad hoc requests to provide response to front offices of the Director and Deputy Director of Human Resources Services Division;

• Generates a variety of standard statistical and other reports, work orders, etc., using various databases;

• Compiles and organizes information and reference materials from various sources;

• Attends meetings and provides support in note-taking;

• Assists in drafting and preparing official letters and documents;

• Performs related administrative duties as requested by the supervisor;

• Assists in other ad-hoc activities as requested.

Communication on Workforce Planning and Organizational Design

• Assists Operational Staffing Design Section with workforce planning and organizational design related in formational materials (job aids, toolkits, factsheets, correspondence templates, presentation slides, etc.);

• Assists the coordination and organization of the Section’s Communication and Engagement activities including but not limited to change management workshops, client meetings, client contact list;

• Selects and evaluates a variety of documents, summarizes pertinent material, and prepares background materials for a variety of high-level human resources products, including but not limited to briefing notes, talking points, meeting minutes and presentations;

• Assists the coordination and organization of the Section’s Communication and Engagement activities including but not limited to change management workshops, client meetings, client contact list;

• Assists in social media outreach and communication materials design such as booklets, brochures, training materials and guides;

• Assists the section in leveraging and building a workforce planning and organizational design community of practice as well as an online network;

• Assists the section in building training materials and briefings on workforce planning and organizational design for various clients of the Secretariat.

Competencies

Knowledge of online communication tools such as SharePoint Online or Microsoft Teams; knowledge of key office business tools such as Excel, PowerPivot, or PowerPoint; shows pride in work and achievements; Demonstrate professional and mastery of subject matter; Is conscientious and efficient in meeting commitments, observing deadlines and achieving results; Is motivated by professional rather than personal concerns; Shows persistence when faced with difficult problems or challenges; Remains calm in stressful situations.

Communication:

Ability to draft clearly and concisely; good written and oral language skills; listens to others, correctly interprets others and responds appropriately; asks questions to clarify and exhibits interest in having two-way communication.

Teamwork:

Good interpersonal skills; ability to work collaboratively with colleagues from different national and cultural backgrounds to achieve organizational goals; supports and acts in accordance with final group decision, even when such decisions may not entirely reflect own position.

Commitment to Continuous Learning:

Keeps abreast of new developments in own occupation/profession; actively seeks to develop oneself professionally and personally; contributes to the learning of colleagues and subordinates; shows willingness to learn from others; seeks feedback to learn and improve.

Education

To qualify for an internship with the United Nations Internship Programme, the following conditions must be met:

Applicants must meet one of the following requirements:

(a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); or

(b) be enrolled in, have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent).

We are open to a broad range of educational backgrounds. Typically, our interns are pursuing studies in any of the following areas:

•Area 1: Education and Development

We seek candidates with relevant coursework in building and evaluation training programs.

•Area 2: Analytics and Business Intelligence

We seek candidates with relevant coursework in Computer Science, Statistics, Operations Research, Data Visualization or Analytics.

Applicants must also:

- Be computer literate in standard software applications;

- Have a demonstrated keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter;

- Have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.

Work Experience

No working experience is required to apply for the United Nations Internship Programme. Your training, education, advance course work or skills should benefit the United Nations during your internship.

Languages

English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is required for the internship. Knowledge of an additional official UN language is an advantage. Arabic, Chinese, English, French, Russian and Spanish are the official languages of the United Nations Secretariat.

Special Notice

The internship will be remotely. The intern must have relevant equipment to access all UN tools and software remotely. Access and a UN email address will be provided.
